AU Sports Holiday Club Terms & Conditions
By booking a place at an AU Sports Holiday Club, you agree to the following terms and conditions:
1. Cancellation & Refund Policy
We understand that plans can change, so we offer the following cancellation options:
✅ 48+ Hours Notice: A full refund or 100% credit to be used for a future holiday club session.
✅ 24-48 Hours Notice: A 50% credit to be used for an alternative date (no refund will be issued).
❌ Less than 24 Hours Notice: No refund or credit will be issued.
📩 To request a refund or credit, please email ausported@gmail.com with your child’s name and booking reference number.
2. Attendance & Participation
• Children are expected to fully participate in activities where they are physically able. If your child has any additional needs, please inform us in advance so we can support them appropriately.
• If a child is feeling unwell, we ask that they do not attend for the well-being of all participants and staff.
3. Behaviour & Safeguarding Policy
• All children must adhere to our Behaviour Policy at all times.
• Any child who repeatedly disrupts sessions, behaves inappropriately, or poses a safety risk may be removed from the club, and their responsible adult will be contacted to collect them immediately.
• No refund will be issued for children removed from sessions due to poor behaviour.
4. Drop-Off & Collection
• Parents/guardians must drop off and collect their children at the designated times and locations.
• If you need to arrange an early drop-off or late collection, please notify us in advance so we can accommodate where possible.
• Late Pick-Up Fees:
• Any pickups made more than 5 minutes after the selected pick-up time will incur a £5 charge.
• An additional £1 charge per minute will apply thereafter.
• These charges are necessary to cover additional venue and staff costs incurred due to late collections.
• Penalty payments must be made before your child can attend any future AU sessions.
We appreciate your cooperation in ensuring timely collections so that we can continue to provide a well-organized and safe environment for all children.
5. Personal Belongings & Mobile Phones
• We strongly advise that children do not bring mobile phones to holiday club.
• If a phone is brought, it must remain unused throughout the day to protect the safeguarding of children and staff.
• AU Sports is not responsible for any lost, stolen, or damaged personal belongings.
6. Medical Information & Health Updates
• Parents/guardians must provide accurate medical information (including allergies, medical conditions, and additional support needs) at the time of booking.
• If there are any changes to your child’s health or medical requirements between booking and the session date, you must inform us as soon as possible to ensure we can provide appropriate care.
7. First Aid & Safety
• Lead coaches at AU Sports Holiday Club are first aid trained to provide emergency care if needed.
• AU Sports follows strict health and safety protocols to ensure the well-being of all participants.
8. Session Cancellations by AU Sports
• In rare cases, AU Sports may need to cancel or amend a session due to unforeseen circumstances such as extreme weather or venue unavailability.
• If this occurs, we will provide 100% credit for a future session.
• Refunds will not be issued for sessions cancelled due to external factors beyond our control.
By completing a booking, you acknowledge and accept these terms.
